LeaseDock (“we”, “us”, operated by [Your legal entity], ABN [ABN]) provides property-management software. This policy explains how we handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
Information we collect
- Account details: name, email, password (hashed), and your organisation's details.
- Operational data you enter: properties, leases, tenants, owners, invoices, payments, expenses, maintenance and messages.
- Personal information about third parties: e.g. tenants and owners you add. You are responsible for having a basis to provide this to us.
- Usage and device data: log data, IP address and basic analytics to operate and secure the service.
How we use it
- To provide, maintain and improve the service.
- To generate invoices, statements, reminders and other documents you request.
- To power AI features (see below) that you choose to use.
- To communicate with you about your account and support.
AI features
Features such as the Vantage advisor, lease scanning and document drafting send the relevant content to our AI provider (Anthropic) to generate a response. We do not use your data to train third-party models. AI output may be inaccurate and is not professional, legal or financial advice. Always review it before relying on it.
Storage, security and location
Data is stored with our infrastructure providers (including Supabase and our hosting provider) and may be processed on servers located in Australia or overseas. Access is protected by row-level security so each organisation, and each tenant, can only see their own data. We use reasonable technical and organisational measures to protect your information, though no system is perfectly secure.
Disclosure to third parties
We share information with service providers who help us run LeaseDock (hosting, database, email, AI), bound by confidentiality obligations. We do not sell your personal information. We may disclose information where required by law.
Retention and deletion
We keep your data while your account is active and for a reasonable period afterwards, then delete or de-identify it. You can request deletion of your account and associated data by contacting us.
Your rights
You may request access to, or correction of, the personal information we hold about you. To make a request or a complaint, contact us at privacy@leasedock.com. If you are not satisfied, you may contact the Office of the Australian Information Commissioner (oaic.gov.au).
Changes
We may update this policy from time to time and will post the current version here with a revised date.
